Halter Ranch is looking for an organized, detail oriented, trustworthy, professional to join our team.
GENERAL
This is a full-time position, and the right candidate will have the ability to multitask, general human resource and bookkeeping concepts, work in a fast-paced environment, and discretion required. This person will be responsible for assisting the HR/Admin Manager and Accounting in a variety of duties as pertains to their departments.
DUTIES
The HR/Admin Assistant supports the human resources and accounting departments by completing various tasks listed below. This position will be split half of the time on HR tasks and the other half on admin/bookkeeping tasks. Job duties and responsibilities of the position include, but are not limited to, the following activities:
HR Tasks
• Update and maintain calendars, staff directories, emails, time off requests, phone extension lists, and other lists.
• Keep current onboarding packets for new hires as forms and labor laws changes.
• Assist in onboarding new hires.
• Order and maintain office supplies creating an inventory control system, ensure supply room is clean and organized and stocked.
• Work with off-site supplier to review/stock medical cabinets.
• Create employee tracking for harassment prevention, CPR and other required training.
• Assist with employee wine program distribution and coordinate staff lunches.
• Coordinates donation requests.
• Update Paylocity with staff hours.
• Update and create job descriptions, post job openings, assist with pre-hiring, i.e., print resumes, pre-screen applicants, create interview schedules.
• Coordinate with IT to facilitate computer/phone/on-site repairs and/or upgrades.
• Track and inventory facility keys.
• Supports HR team with Open Enrollment as needed, prepare materials, schedules trainings, and educates staff on benefit programs and resources.
• Scan and file documents, create insurance/benefits binders, and other duties as needed.
• Process mail and distribute to appropriate departments.
• Supports receptionist as needed.
• Support Human Resources projects and initiatives as they arise.
• Maintains emails on a regular basis.
• Reservations – Make/cancel/update Tock reservations.
• Other duties as assigned.
Safety & Training
• Assists with safety, compliance, and other necessary training programs.
• Supports managers and teams with safety initiatives and helps organize events as needed.
• Audits ongoing training and certification needs for employees, reporting and communicating approaching deadlines to maintain compliance.
Admin Tasks
• Work closely with Wholesale Coordinator to obtain pricing approval for customer orders, enter orders into QuickBooks system, and submit Sales Orders to customers.
• Upon confirmation of shipment, create customer Invoices, submit to customers and relieve inventory.
• Issue approved monthly customer Billbacks.
• Issue monthly customer statements and monitor past due balances.
• Match incoming customer checks to open invoices.
• File accounting related documents and scan for record retention.
• Maintain and update Vendor W-9’s, Vendor Contracts, and COI Binders.
• Other duties as assigned.
EXPERIENCE AND SKILLS REQUIRED:
• Attention to detail with high degree of accuracy
• Strong organizational skills and ability to multi-task
• Ability to maintain confidentiality and discretion
• Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
• Proficient at Word and Excel
• QuickBooks experience is a plus but not required

In the heart of Willow Creek in West Side Paso Robles, Clos Solène is a family-owned boutique Estate on a 27-acres property producing 5,000 cases per year. Our acclaimed estate welcomes guests with upscale seated tasting experiences by reservation only. With our expected growth and upcoming expansion, we are seeking a detail-oriented and enthusiastic full-time Tasting Room Manager to lead and elevate our hospitality operations. This role is pivotal in creating memorable experiences for guests, cultivating a high-performing team, and contributing to the overall growth of Clos Solène. This is a key position within our organization and will report directly to our General Manager and ownership.
Clos Solène has been recently showcased in SF Chronicle and continues to garner high scores from the wine industry most respected publications. In addition, we are breaking ground imminently on a stunning 19,000sq ft state of the art underground cellar as well as a hospitality center encompassing four tasting suites located in the vineyards, a Member only VIP cellar experience and a vintage library.
Key Responsibilities:
Hospitality Leadership:
• Oversee all aspects of the tasting room experience, ensuring exceptional service and consistent alignment with the Clos Solène brand. Address in timely fashion guest feedbacks.
• Develop and implement hospitality standards to create memorable guest interactions.
• Cultivate a welcoming environment, fostering relationships with guest and members.
Team Management:
• Recruit, train, and mentor tasting room talents, focusing on building a high-performing team.
• Schedule and manage staff to optimize coverage and efficiency and deliver outstanding hospitality.
• Lead by example to maintain a motivated and professional team environment.
Sales & Wine Club Promotion:
• Drive tasting room sales, upsell wine packages, and promote wine club memberships.
• Develop and execute strategies to meet revenue and membership goals.
• Partner with the Wine Club Manager to create seamless transitions from guests to members.
Operational Excellence:
• Manage daily operations, including opening/closing procedures, cash handling, inventory management and data accuracy.
• Oversee tasting room supplies, ensuring availability and quality.
• Maintain cleanliness and protocols in compliance with company standards.
Events Management:
• Collaborate with the events team to host and execute wine club and public events.
• Ensure all tasting room experiences during events reflect the Clos Solène standard.
Data & Reporting:
• Track and analyze KPIs such as average order value, conversion rates, and guest feedback.
• Provide regular updates to the General Manager on performance and areas of opportunity.
Marketing & Guest Communication:
• Collaborate with marketing to promote special offerings, events, and seasonal campaigns.
• Engage with guests through email and social media to drive repeat visits and sales.
Qualifications:
• 5+ years min. of hospitality manager, tasting room manager, or related management experience in the wine industry.
• Proven track record in team leadership, sales, and customer service.
• Exceptional communication and interpersonal skills.
• Strong organizational abilities and attention to detail.
• Familiarity with POS/CRM systems (e.g., Commerce7, Tock, Excel, Enolytics, Adobe Suite, Wine Direct, G-suite), and inventory management.
• Passion for wine, with advanced knowledge of wine production and tasting (WSET certification or similar is a plus).
Physical Requirements:
• Must be able to lift 50 lbs.
• Ability to stand and walk for extended periods.
• Work schedule includes weekends, holidays, and occasional evenings for events.
Compensation:
• Full-time Salary Range: $68,650 - $80,000 based on experience, including bonus variable

Tasting Room & Wine Club Manager Job Description
We are looking for an entrepreneurial-minded and experienced full-time Tasting Room & Wine Club Manager to lead our sales growth, develop strategy and expand our brand. We have already developed many sales connections and exciting opportunities, that are ready for someone to execute!
