POSITION: Member Services Coordinator
REPORTS TO: Operations & Visitor Services Manager
STATUS: Full-Time/Non-Exempt

GENERAL FUNCTION: The Member Services Coordinator reports to the Operations & Visitor Services Manager and is responsible for cultivating and strengthening relationships with member businesses and for creating, managing, and executing member retention strategies and programs in order to maximize the membership retention rates for the Chamber. As needed, the Member Services Coordinator may be required to work a varied schedule that may include evenings, nights and weekends.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:
1. Responsible for execution of the Retention Program including maintaining tracking mechanisms
2. Provide services to ensure knowledge of how to utilize member benefits including additional sponsorship/advertising opportunities
3. Process accounts receivable, including collection calls and distribution of membership decals
4. Maintain accurate membership records in database
5. Perform on-boarding tasks for New Members including account set-up and training of member representatives
6. Serve as the staff liaison for the Membership Committee and Ambassador Team
7. Execute recognition programs including: Business of the Month, Winery/Brewery of the Month, Restaurant of the Month, Roblan of the Month & Year, Beautification/Community Oriented Business of the Month & Year
8. Coordinate Membership Mixers
9. Coordinate Ribbon Cuttings
10. Coordinate New Member Orientations
11. Assist in coordination of Membership Drive, if conducted
12. Actively support and participate in Chamber events and programs, as needed
13. Provide coverage/assistance in the Visitor Center, as needed
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
1. In-depth knowledge of invoicing and collections processes and procedures
2. Ability to communicate clearly and concisely, both orally and in writing
3. Experience in customer service and benefit analysis
4. Knowledge of event planning and coordination of programs
5. Strong organization, time management, multi-tasking and follow-up skills

POSITION: Marketing Coordinator

GENERAL FUNCTION: The Marketing Coordinator reports to the President/CEO and is responsible for executing the marketing needs of the Chamber. As needed, the Marketing Coordinator may be required to work a varied schedule that may include evenings, nights and weekends.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:
1. Direct the creation, implementation and measurement of a comprehensive marketing, communications, and public relations program that will enhance the organization’s image and position within the marketplace
2. Set timelines and develop messaging that ensures brand consistency as well as Chamber programs and event promotion across multiple platforms and through available partnerships
3. In coordination with the Events Coordinator design and produce event promotion advertising and related communications including Press Releases
4. In coordination with Membership Division design and produce sales collateral
5. Oversee the Chamber website and Economic Development microsite; responsible for creation, editing and proofing of content as well as implementing web marketing strategies to augment usage, increase online presence and create revenue streams
6. Coordinate and oversee social media accounts; maintaining accurate information and create relevant content to promote Chamber resources, programs and events
7. Direct the editorial content, design, production, distribution and revenue stream opportunities of all Chamber publications including but not limited to the Discovery Guide, Relocation Guide, and Business Plan
8. Serve as direct point of contact for public relations including scheduling interviews, providing quotes/photos/etc. and media attendance at Chamber related functions
9. Develop and execute advertising campaigns with media partners
10. Work with Chamber Members for timely and useable advertising submissions
11. Design, edit, proofread, and revise communication creatives and distribute marketing and promotional materials, both in print and electronic format
12. Sell or assist in the sales process for advertising/sponsorship packages to Members as applicable
13. Responsible for reporting, tracking and as needed assisting President/CEO with budgeting
14. Assist with other special projects and publications as needed

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
1. Minimum two years’ experience or training in public relations, advertising, mass communication, marketing or communications design
2. Experience developing a variety of marketing and promotional materials

BOOKKEEPING DUTIES & RESPONSIBILITIES (estimated 16-24 hours per week)

General
Maintaining and reporting on books for both winery and vineyard operations; Compliance management in regards to taxes and shipping permitting.

• Bi-Weekly – reconcile bank statements and verify balances against income channels
• Monthly – prepare profit/loss reports for management team; and inventory reports for accounting
• Quarterly – work with management to forecast and project cash flow, budgets and review depreciation schedules created by accounting.
• Annually – compile financial information to submit to accountant for income tax preparation

Epoch is a twelve-year-old venture dedicated to producing ultra-premium Rhône variety, Tempranillo and Zinfandel wines from two estate vineyards on the west-side of Paso Robles.

The Groundskeeper will be part of the Ranch/Property team and will be responsible for performing the groundskeeping routines at Epoch’s York Mountain properties. The goal is maintaining a beautiful and safe environment for our visitors. In addition to groundskeeping, this position will also provide maintenance support, as needed, to the Tasting Room, production facility, and Epoch residents, including minor and emergency repairs. Experience in landscape maintenance is required. Additional experience with irrigation, plumbing, and construction is a plus.

TAX REPORTING SPECIALIST 

Looking for a motivated individual who likes challenges, detail-oriented work, and has a high capacity for learning. Must be a team player.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Payment and Money Due Tracking                                                                           

Data entry into proprietary compliance software                                                      

Updating internal system (notes, status changes, printing, etc.)      

Month-end closing tasks and start of month preparation      

Filing of paper documents per retention guidelines (NOTE: this is not tax filing)                

Coordinate interoffice mail and communication                                                       

Prep and deliver items for outgoing mail

Participate in weekly team meetings and team building exercises              

Seek out and increase knowledge of our industry standards and trends     

Actively participate in ongoing training in preparation for advancement to tax reporting specialist    

POSITION REQUIREMENTS

A working knowledge of Accounting with focus on tracking and reconciling payments is needed to be successful in this role

Job Summary:
The Safety Coordinator plans, directs, and implements health, safety, and security programs to ensure a safe, healthy, secure, and accident-free work environment for all employees as well as ensuring compliance with all OSHA/ CALOSHA requirements.

Essential Job Duties and Responsibilities:
Specifically, the responsibilities of the position include, but are not limited to, the following activities:
• Plan, implement & manage safety policies and procedures in compliance with local, state, and federal Occupational Safety and Health Administration (OSHA) rules and regulations
• Plan, implement & manage programs to train managers, leads and employees in work site safety practices, fire prevention, emergency planning, job-related safety tasks and correct handling techniques for chemicals and toxins (SDS), equipment, and other materials
• Manage all company safety related trainings and certifications including new hire safety orientation and trainings
• Inspect building facilities on a monthly basis to detect existing or potential accident and health hazards, determine corrective or preventative measures where indicated, and follow up to ensure measures have been implemented/corrected
• Lead and monitor monthly safety committee meetings and activities at all locations and prepare meeting agenda and minutes
• Provide and post information, signs, posters, barriers, and other materials to warn of potential and actual safety hazards and to prevent access to hazardous conditions
• Manage all PPE for company; re-order as needed, ensure each area has PPE stocked (earplugs/eye protection etc.) and all are complying;
• Coordinate & manage hearing tests for hearing conservation program
• Manage first aid kids; ensure kits are in the right places, marked, and fully stocked
• Manage workers compensation insurance, employee injuries, claims, filing, and return to work; assist with loss prevention audits
• Lead the investigation of accidents and injuries and cooperate in the preparation of materials and evidence for use in hearings, lawsuits, and insurance investigations
• Compile and submit all reports required by regulatory agencies as needed; update and finalize OSHA logs and postings
• Maintain all safety files, IIPP, related records and safety training records
• Randomly check workers in varying departments to ensure all safety policies and regulations are being followed, correct & discipline if needed
• Research and provide advice and information to management regarding safety/security/OSHA related questions
• Manage campus security; ensure that the plant can be properly secured via locks (especially bonded areas and high value areas); create & maintain a system of access appropriate to each position; coordinate and oversee the night watchman contractor keeping an eye on logs and other interface with security company
• Manage Paso campus security ID badges, issue to new hires, re-print as needed for lost/damaged badges
• Complete monthly fire extinguisher inspections; update tags
• Other safety related duties as assigned

Required Qualifications:
• Bachelor's degree from four-year College or University and three to five years related experience in a production/manufacturing environment and/or training; or equivalent combination of education and experience
• Coursework and training in occupational safety requirements and CALOHSA guidelines is required
• OSHA 10-Hour Certification
• Ability to effectively communicate verbally and in writing
• Knowledge of all applicable local, state, and federal rules and regulations regarding safety & health in the work place and related topics
• Ability to create training programs and effectively train others
• Ability to be proactive, self-motivated and resourceful
• Strong planning and organizational skills as well as strong project management and coordination skills
• High attention to detail, ability to multitask and meet deadlines
• Strong leadership skills with the ability to lead by example
• Ability to travel between company locations in CA on a monthly basis
• Ability to operate and use a PC computer, research using the internet, and proficient in Microsoft Office suite of programs.

This position will perform marketing and purchasing functions that will support and contribute to the efficiency of our operation. This position will provide high level administrative support to the company management as well have other assigned administrative responsibilities.

This position is full-time, work hours M-TH, 8:30-5 pm and FR 9:00-3PM.

Required Skills
MANDATORY QUALIFICATIONS:

College level education

One year minimum business experience which included purchasing and product management/marketing responsibilities.

Excellent communication skills, both written and verbal. This position requires a great deal of interaction with a variety of people within the company as well as with customers.

Excellent computer skills including experience with Microsoft Office programs, with focus on Excel and Outlook.

Highly organized, attention to detail and follow-up. Ability to organize, prioritize, and accomplish multiple projects.

Cooperative and friendly. Able to accept work from a variety of people and maintain a positive and motivated attitude.

This position requires a professional manner in meeting the needs of both suppliers and external customers.
Must be able to maintain confidentiality.
