HALTER RANCH
Historic Halter Ranch is a vineyard and winery located in the heart of the Paso Robles' Westside Adelaida District. Tradition and innovation mix at Halter Ranch to produce Bordeaux and Rhône-style wines of the highest quality. Halter Ranch is looking for an organized, detail-oriented, trustworthy, professional to join our team.
GENERAL
This is a full-time position and the right candidate will have the ability to multitask, work in a fast-paced environment, and work with teams across the organization. This person will be responsible for assisting the Accounting Manager in a variety of duties as well as owning the end-to-end process of many accounting functions within the company.
The accounting functions of Halter Ranch are centralized at our Paso Robles location and serve all other locations.
DUTIES
This position will work closely with different departments and Accounting Manager. Job duties and responsibilities of the position include, but are not limited to, the following activities:
Essential Duties Include:
• Perform all activities related to the accounts payable functions including, print, reviewing, disseminate, coding and processing payment and maintaining vendors update.
• Perform account receivable functions including, processing purchase orders, invoicing, preparing deposits, credit memos/billbacks, issue statements.
• Daily sales journal entry based on data gather from POS system
• Perform monthly, quarterly and annual accounting activities including reconciliations of bank and credit card accounts, etc.
• Assisting with the preparation of monthly close and preparation of quarterly and annual financial statements.
• To reconcile inventory based on physical counts to accounting records monthly.
• Other duties as assigned.
EXPERIENCE AND SKILLS REQUIRED:
• 2+ years relevant experience working in accounting and bookkeeping
• Strong accounts payable and accounts receivable experience required
• Excellent computer skills and ability to operate efficiently across multiple technology tools.
• Experience with California Sales and Use Taxes, California CRV program, and/or various other state and local tax regimes.
• Experience with and/or interest in accounting automation tools to manage expense reimbursement, company credit card reconciliation, accounts payable, etc.
• Strong analytical skills with the ability to collect, organize, and analyze, significant amounts of data with attention to detail and accuracy.
• Ability to maintain confidentiality and discretion across all functions
• Ability to work independently and prioritize competing demands and deadlines.
• Strong Excel skills required, ability to interface with various software such as QuickBooks, Microsoft Word, Excel, and other Office 365 tools.
• Winery experience a plus but not required.

This Grenache is comprised of 100% clone 362 from the Willow Creek District of Paso Robles. The fruit comes from vines which naturally yield less than 3 tons/ acre and have distinctly small berries a great color. The wine has been stored in two neutral, 400L barrels. The wine has great color with a very aromatic, fresh and candied red fruit nose and vibrant acidity.

With a combined thirty years of custom crush experience we know that each client has individual requirements. We offer a range of options from owner operated AP agreements to full service custom crush, so whether you want to do your own work or would like our team to manage the making of your wines we are able to accommodate.
Conveniently located on Vineyard Drive a mile up from the West Highway 46 roundabout. Designed to be a work efficient winery, our facility is fully equipped for all production operations.
Dedicated to a clean and sanitary environment, we have both an ozone and steam generator for barrel and tank cleaning.
Crush equipment including cluster and berry sorting capabilities.
We are able to facilitate a range of fermentation lot sizes for white and red wines with both stainless steel and concrete vessels available.
We use a 20hL JLB basket press with two baskets, one of which can press as small as half a ton.
Both hot and cold glycol is available.
We have two temperature-controlled rooms one of which can be chilled and heated to assist primary and/or secondary fermentations to finish in barrel.
We have a dedicated well for the winery. Reverse osmosis, ultra violet sterilized water is plumbed throughout the facility.
Two different power hookups are available to accommodate a range of bottling trucks and power requirements. The plate height of the building allows bottling trucks to pull undercover so you don’t have to worry about bottling in the rain or sun.
A well-trained and educated staff is available to assist with your winery tasks if so desired.
For your listening pleasure we have a pretty great sound system.

Job Summary
The Wine Club Assistant serves as the primary point of contact for Hearst Ranch Winery's wine club members, delivering exceptional service, managing communications, and supporting administrative functions. This position reports directly to the Wine Club Manager and also provides support to other departments, including Tasting Rooms and Logistics, as needed.
The ideal candidate is self-motivated, personable, and customer-focused, with a professional demeanor and strong proficiency in both email and phone etiquette. They should feel confident building relationships with club members in person—both in the tasting rooms and at winery events.
This role is based at our Paso Robles location, with occasional responsibilities in San Simeon.
Regular Working Hours
This is a full-time opportunity, with a flexible work week. Times are subject to change during wine club releases or other events. Weekends, evening and/or early morning hours may be required.

Essential Duties:
Wine Club
• Serve as the first point of contact for wine club members by responding to emails, phone calls, and text messages with prompt, professional, and friendly service.
• Assist the Wine Club Manager with wine club release planning, including processing, shipping/pick-up coordination, and club member requests.
• Assist the Wine Club Manager with outbound sales campaigns via email, phone, and text.
• Manage customer relationship tasks such as data cleanup, updating member information, processing orders, and maintaining strong member engagement.
• Review and organize club sign-up forms to ensure accuracy and completeness.
• Proactively contact members with outdated payment methods to update billing information and avoid delays.
• Support order fulfillment by assisting the Shipping Manager and Wine Club Manager with wine club pack-outs, and troubleshooting delivery issues or customer complaints.
• Communicate with members regarding shipping exceptions, re-shipments, and pickup deadlines to ensure a seamless customer experience.
• Act as a wine club presence in the tasting room to support conversion of new member and engagement with current members.
• Assist the Wine Club Manager with club event planning and execution at our San Simeon and Paso Robles Tasting Rooms.
Administrative:
• Assist admin office with answering emails and phone calls.
• Make reservations to visit the winery via Tock.
• Take and relay accurate messages to the appropriate parties.
• Provide Paso Robles tasting room staff with lunch breaks.

Job Requirements/Qualifications:

The position provides support, guidance, and training to Tasting Room staff to ensure the team meets sales and club sign-up goals. The position requires a willingness to work as part of a dynamic management team, motivate the staff, and interact graciously with guests. The Assistant Tasting Room Manager will work to provide a healthy working culture to all DTC staff and help to create a Legacy of Quality.
Essential Duties
- Daily collaboration with Hosts to develop strategy to maximize seating efficiency.
- Meet with Tasting Room Manager weekly to review weekly performance and discuss methods of improvement.
- Keep detailed records of San Simeon tasting room wine inventory and communicate weekly needs to Inventory and Logistics coordinator.
- Assist with staff scheduling, time off requests, shift swap requests, and timecard approvals.
- Schedule daily lunches and breaks for all staff to ensure legal compliance.
- Completion of daily cash register balancing and weekly bank deposits.
- Cleaning supply inventory tracking and re-ordering
- Oversee the accurate completion of the EOD bottle promo.
- Assist in resolving internal staff disputes and/or service recovery scenarios.
- Oversee the completion of all opening and closing procedures.
- Assist in the development and implementation of tasting room SOP’s.
- Assist with interviewing potential hires.
- Assist with timecard approval.
- Assist the Tasting Room Manager and Marketing Manager in driving tasting room traffic through engagement with the Pacific Coast Wine Trail, and networking with local Central Coast Wine community, local hotels, B&B’s, and wine tourism operations.
Secondary Duties (ensure staff completion in the following areas)
- Assists visitors with merchandise and other “to go” purchases.
- Sticker and restock paper and cloth bags daily.
- Restock merchandise and dust daily.
- Assist with all opening and closing procedures.
- Break down cardboard boxes in the wine room and deliver to recycling bin.
- Take out trash and recycle as needed.
- Restock toilet paper, paper towels, and toilet seat covers as needed.
