Position Summary
Under the leadership of the Director of Sales, the Wine Club Manager will ensure a consistent and integrated customer experience both online and in-person that will engage members and translate to organic wine club growth. This position delivers best-in-class concierge service to the winery’s current wine club members and assists to bring in new wine club members. Working with current and prospective members, the Wine Club Manager ensures all questions are answered and that value is provided to each guest on all communication channels: email, phone, and in-person. Responsible for overall management of the Wine Club for all brands, future growth planning, and the Wine Club calendar, this is a crucial cross-departmental position that cares for the winery’s key stakeholders.

Duties & Responsibilities
• Work collaboratively with all DTC channels to plan and execute annual company wine club efforts
• Oversee wine club calendar, campaigns, shipments, and manage their implementation
• Process all enrollment forms including data entry and confirming all information provided
• Manage daily calls, voicemails, and emails
• Maintain current records for each club member and make changes and updates as necessary
• Increase club membership and retention based on annual planning with Director
of Sales and Marketing Manager
• Manage the Wine Club calendar deadlines, ensure will call notifications, email initialization, newsletters, and communication emails are sent in a timely manner
• Execute and maintain expired/declined credit card resolution process and contacting members
• Contribute to the creation of club collateral such as newsletters, event invitations, and other promotional material as needed
• Supervise timely and accurate wine club shipments, re-orders, virtual tastings, and website orders
• Mitigate and respond to all guest service feedback, both positive and constructive
• Partner with Tasting Room Managers on staff training to acquire new club members
• Works with Tasting Room Managers to implement and execute wine club policies and procedures
• Participate in tasting room staff meetings when relevant to wine club
• Planning and participating in all wine club events
• Partner with Sales and Marketing on planning and execution of both internal and external events
• Process orders using WineDirect and Ship Compliant in compliance with all regulations

Professional Qualifications
• Bachelor’s degree preferred
• At least two-years of experience in wine club or similar role is highly desired but not required
• Exceptional speaking and writing skills with the ability to interact as a brand ambassador via phone, email, in person, and at public events
• Proficient in Microsoft Office: Outlook, Word, and Excel
• Experience with WineDirect and Tock preferred

The Wine Club Assistant reports to the Wine Club Manager

JOB DESCRITPION
1.CUSTOMER SERVICE
•Helps in Hospitality Center when needed
•Processing orders accurately and efficiently in Wine Direct
•Participating in coordination of Signature Club events by greeting, pouring, and selling to members
•Community Outreach: Business development efforts to local hotels, wineries & property development companies
•Tele-sales
•Responds promptly to all telephone and email inquiries from members - emails will be assigned by Wine Club Manager
•Ability to effectively resolve customer complaints

2.ADMINISTRATION
•Assists in maintaining customer database; includes adding new members to system and sending out Welcome Cards, and account updates
•Checks Wine Direct Fulfillment and ShipCompliant orders daily and resolves shipping issues in a timely manner
•Create shipping labels for all orders to be shipped from the Tasting Room
•Pack all orders to be shipped from Tasting Room
•Keep "Shipping Station" clean and organized. Keep inventory of what shipping materials we have what is needed; boxes, pulp, tape, etc.
•Performing other assigned duties as directed

REQUIREMENTS
•Minimum 4-years in hospitality/front of house position required
•Proficient in Microsoft Excel, Outlook and Word
•Excellent phone etiquette
•Experience with Wine Direct/Vin65 desired
•Prior wine experience an advantage, but not required
•Excellent customer service and hospitality skills
•Must be 21 years of age
•Ability to lift 55 pounds repetitively
•Must be available to work weekends, evenings, holidays, and events
•Must be a team player who can work efficiently in high volume, fast paced situations

Essential Functions:

Working Conditions:
· Fulltime schedule to include weekends and holidays

· Long and irregular hours during peak seasons and/or special events

· Sitting for long periods of time

· Ability to focus and maintain a high level of customer service in high traffic, busy office

· Ability to lift at least 50 pounds (case of wine)

Requirements:
· Exceptional customer service skills and positive attitude

· Must be 21 or older

· Education: high school diploma required

· Knowledge of administrative and clerical procedures

· Knowledge of computer systems and software

· Ability to learn winery software

· Knowledge of customer service principles and practices

· Ability to multi-task and be a team player, communicating with management if any issues arise

· Protect the organization’s value by keeping information confidential

· Must be able to type 45 wpm

We source fruit from highly acclaimed vineyards from Santa Barbara County, Edna Valley, Santa Maria, Westside Paso Robles, to Carneros in Napa Valley. A majority of our wines are allocated to our wine club. Fifteen percent of our production is kept for our tasting room and less than one percent goes to our five wholesale accounts within California. ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for performing a variety of cellar operations including but not limited to:
• Grape receiving activities
• Wine/must movement
• Cap management practices (punch-downs)
• Fermentation monitoring/management
• Barrel activities (filling/racking/topping)
• Equipment and tank sanitation
Wine sampling and some lab work
Forklift driving helpful but not required
• Field sampling
• Other tasks as necessary

QUALIFICATION REQUIREMENTS:
